Employee Requests page: Time-off request filter view

The Employee Request page has the following columns when a time-off request filter is used.

Column

Description

Name

Name of the employee.

Status

Icon showing the status of the request. The name of the status is displayed when you point to the icon.

Statuses include: approved, pending approval, tentatively approved, withdrawn, waitlisted, denied, escalated, expired, in negotiation, and invalid.

Type

Column is available to display the type of request when the View is No Filter or a filter is used to view either Time Off requests or Shift requests.

Submitted

Date the request was submitted.

Last Modified

Date the request was last changed.

Start Date

Time stamp of the beginning of the requested time-off.

End Date

Time stamp of the end of the requested time-off.

Length

Duration of the requested time-off.

Hours Accounted

Number of the employee time-off hours involved in the request.

Choice Alerts

Each possible choice for a time-off request is validated independently. For each failed validation, this area shows the icon and description of the validation, similar to that described in the previous section on the alerts information.

Seniority

Start date of the employee.

Rank

Rank of the employee.

Time Off Pool

Time-off pool that employee belongs to.

Expired

Indicates whether the request is expired.

Comments

Text of any comments added by the manager or employee.

Alerts

Icons showing which request validation rules are violated as a result of this request. When you point to the icon, the rule name is displayed.

Actions

Icons that you can click to apply an action to the request. To display the icon name, point to it.

Actions can include the following:

  • Edit: Allows the user to edit the request for Pending or Tentatively Approved requests only.

  • Approve: Allows the manager to approve the request, which is then reflected on the Published schedule.

  • Tentatively Approve: Allows the manager to approve the request for the Draft schedule only. It does not appear on the Published schedule. Only Approved requests are reflected on the Published schedule. A Tentatively Approved request appears to the employee as Pending.

  • Deny: Allows the manager to deny the request. If the employee has a notification rule configured, they receive a notification about the denied request. If the Request Management setting, Allow escalation of denied requests, is enabled, the employee can escalate a denied request.

  • View detail: Allows the manager to view a summary of the request, any alerts associated with the request, and a history of changes related to the request.

  • Add to Waitlist: Adds the request to the waitlist for any Pending and Denied non-expired requests. This action is available if the activity Core component of both schedules and time records in Workforce Management (WFM). When an employee performs any kind of work, activities specify the scheduled work and capture employee adherence to their schedule. has a time-off pool with a waitlist, the logged-in user has the relevant privileges, and when creating a new time off request, the Add to Waitlist if not Approvable setting was not selected. When you select Add to Waitlist, the status of the request is Waitlist. A request remains on the waitlist until it is approved or denied.

    The Add to Waitlist action is currently being rolled out to cloud customers. It may not be available in your site just yet.

  • Withdraw actions: If an employee selects to withdraw a Pending request, the system withdraws it. If an employee selects to withdraw an Approved request, the status of the request is Withdrawal Requested, and the following manager actions are available:

    • Accept Withdraw: Approves the withdrawal of the request. The status of the request changes to Withdrawn. Withdrawn requests are not included in the All Active filter.

    • Reject Withdraw: Rejects the withdrawal of the request. The status of the request does not change.

    • Cancel Withdraw: Cancels the withdrawal request.

Time-off request filter with a status of Waitlist

When time-off requests are filtered with a status of Waitlist, specific columns display on the Employee Request page.

Priority

Priority of waitlist request.

Organization Name

Employee's organization.

Added to Waitlist

Date the request was added to Waitlist.

Days on Waitlist

Number of days the request has been on the Waitlist.

Time on Waitlist

Exact time the request has been on the Waitlist.
