Export the schedule

You can export data from the draft schedule to an external file for selected employees. You can export the activities and start and end times of shifts and OT extensions only, or the activities and start and end times of all scheduling components. If you select to export both types of data, the system creates two files - one file for each selected data export.

The Export feature exports all relevant components, including any grayed out components from selecting Find (from Tools). The Find feature grays out unselected components, but it does not remove them from the schedule.

Before you begin

Select campaign data for schedules or Select no campaign for schedules

Procedure 

  1. From the calendar, select the employees for which you want to export schedule data.

  2. From Tools, select Export.

  3. From the Export Schedule screen in the Export file name field, type the name of the file to which you will export data without a file extension. The system generates text (.txt) files with different delimiters (depending on the Delimiter value).

  4. From Data to export, select the data you want to export to the selected file. By default, both types of data are selected for export:

  5. From Columns to export, select one of the following:

    • Employee names: Exports the Employee Name column only. The system does not export any additional columns added using the Configure Employee Columns option from the View menu.

    • All employee columns: Exports the employee columns that are currently on the schedule, including the columns added using the Configure Employee Columns option from the View menu.

  6. From Settings, define the settings for the following parameters:

    • From Date Range, select the date range for which you want to export schedule data.

      The system exports the data according to the selected date range, and not according to the currently selected zoom level. For example, one of the employee columns is Scheduled Weekly Draft Hours, and All employee columns is selected. Although the currently selected zoom level is Week, the selected date range is two weeks. Therefore, in the export file, the value that appears for Scheduled Weekly Draft Hours is N/A. In this case, as the selected date range is longer than a week, the Scheduled Weekly Draft Hours column is not applicable.

    • From Delimiter, select either Tab or Comma for the delimiter in the file.

  7. To export the selected data, select Export.

    Depending on your browser options, the system either displays a download dialog screen, or saves the file automatically to your Downloads folder.
